View past shifts and verify tasks with the staffing page

Understanding the Shift List:

  • The page displays a list of shifts, each labeled as Upcoming, In Progress, Completed, or Review Needed.

  • Shifts are sorted to show the most recent ones at the top.

Creating One-Time Shifts

  • If a cleaner is working a one-time shift, you can click on the "One-time Shift" button and fill in the details, then click "Save New Shift".

    • Shift Name: A short description of the shift

    • Building: The building that they will be working in

    • Cleaner: The cleaner assigned

    • Start/End Dates and Times: When the cleaner will be working

  • Afterwards, you should be able to see the one-time shift be displayed in the staffing table.

  • Click on "See Tasks", and you can create "One-Time Task" in order to track the Cleaner Visits throughout their shift. Click on "Save New Task" when done. Now, the cleaner can work their shift, and the Beacon will be able to track each Cleaner Visit.

    • Description: Short description of the cleaning task

    • Location: Location where the work is to be done

    • Duration: The amount of time the work is scheduled to take.

Using Filters for Specific Searches:

  • Apply filters to find shifts by building, cleaner, shift type, and time period.

  • This feature is handy for reviewing past cleaning activities in specific areas during selected time frames.

Status Glossary for Shifts

  1. Upcoming Shifts:

    • These shifts haven't started yet. Adjust time filters to view them.

  2. In Progress Shifts:

    • Currently ongoing shifts. Task verification becomes available post-completion.

  3. Completed Shifts:

    • These are shifts where all tasks have been verified as completed.

  4. Review Needed Shifts:

    • These are shifts that require a manager to review and manually verify that the work has been completed.

Verifying Cleaning Tasks

Task Verification Process:

  • Mero uses the longest time cleaners spend in an area to confirm visits. Brief entries, like grabbing supplies, aren’t counted as cleaning.

  • For accurate time recording, advise cleaners to finish all tasks in one area before moving to the next.

Reviewing Completed Tasks:

  • On the staffing page, click “See Tasks” to view the tasks completed by a cleaner during their shift.

  • You'll be presented with a shift overview page. This page lists tasks and areas assigned to a cleaner for their shift.

  • Click on any area to see specific tasks for that shift.

Automatic and Manual Verification:

  • Mero marks areas as "Visit Confirmed" if a beacon is detected there after the shift ends.

  • If no beacon visit is detected at the completion of the shift, you’ll be prompted to verify the cleaner's visit manually through a "Unconfirmed" state.

  • Locations remain in a "Pending" state until the shift ends, ensuring cleaners have time to complete all tasks.

  • Change the status of an area anytime using the options to the right of the location details.

Location Status Glossary

  • Here is the full list of all location status':

    • Visit Confirmed: Mero has verified that the task has been completed through Mero Beacon or was manually confirmed by the user

    • Not Visited: No Beacon was detected by Mero and the area was marked as not cleaned by the supervisor

    • Unconfirmed: The beacon was not detected in the location so Mero cannot automatically verify the location was cleaned. The supervisor should mark the location as cleaned/not cleaned after consulting the cleaner.

    • Pending: The task was not yet completed, can be because the cleaner is still on shift.

    • Manually Confirmed: The beacon was not detected in the location so Mero cannot automatically verify the location was cleaned. The supervisor has confirmed with the cleaner or has confirmed themselves that the task was complete and marked it as cleaned.

Adjusting the Verification Buffer

  • By default, the system allows a 15% time buffer for marking areas as complete. This ensures that the system allows enough time for a cleaner to complete the required cleaning.

    • Example: For a 10-minute task, the cleaner will be allowed to spend up to 13 minutes (or as low as 7 minutes) to be considered on target.

  • To modify the buffer, go to Settings > Organization and adjust the value under “task buffer”. Hit Save to save the changes.
