What is Transient Visit Reporting?
Previously, activity reports could sometimes show "missing time"βgaps where cleaners were on-site but not engaged in a major, scheduled task. This happened because the system only logged longer, verified cleaning visits, ignoring the brief but necessary movements that are a normal part of the workday.
Transient Visit Reporting solves this by capturing and displaying brief stops (under one minute) that occur between main tasks. Think of it as filling in the gaps. Whether your team is refilling dispensers, changing garbage liners, or performing a quick quality check, that time is now accounted for and visible in your reports. The result is a more transparent and accurate reflection of your team's productivity.
Key Benefits for Facility Managers
By accounting for every minute, this feature provides several key advantages:
Complete Time Accounting: See exactly where your team spends every minute on-site, eliminating "missing time."
More Accurate SoW Completion: Brief but necessary tasks, like quick room inspections, are now properly recognized as completed work, leading to more accurate (and typically higher) Scope of Work percentages.
Better Productivity Insights: Understand the full scope of work being performed, including the small movements that connect larger tasks.
Forensic Analysis: Gain the ability to investigate any gaps in cleaning coverage with minute-by-minute detail.
Improved Trust and Transparency: Provide clear, transparent reporting that accurately reflects all on-site activity.
How Transient Visits Appear in Your Reports
Once enabled, the system classifies all on-site time into four distinct types. You will see these classifications in a new "Type" column across your activity reports.
Scheduled Visit: A verified cleaning task that was part of your planned schedule.
Unscheduled Visit: A verified cleaning task that was not originally on the schedule.
Transient Visit: A brief stop, under one minute, showing movement or a quick check.
Abandoned Beacon: Indicates a beacon that may have been left behind.
In the "Detail" column, transient visits will be described as:
A single visit: "Visited for <1 minute"
Multiple visits: "Visited for <1 minute (x times)"
A More Accurate Scope of Work (SoW)
A crucial impact of this feature is on your SoW calculations.
Important: Transient visits are now included in SoW completion calculations.
This means a quick, sub-one-minute check of a room now counts toward task completion. As a result, your SoW percentages will be more accurate and will better reflect the full effort of your team.
